Every library should keep and maintain at a minimum the following documents:
- IT Reference Sheet – A basic sheet of IT contact information

- Technology Task List – A list of tech tasks to be performed on a schedule either for the library or specifically for the computers.

- Inventory – A list of all Computers, Network Equipment, and Printers. This should include Manufacturer, Model, Serial Number, Date Purchased, Location, and any other useful information.

- Network Diagram – A simple diagram mapping out the connections between items on the network.

- Passwords – A list of library accounts and passwords. This should include Username, password, any associated email address, and website. This document, in particular, should generally be password protected or otherwise kept secure. (Password Protecting Office Documents)

- Software License Keys – A list of all Software License Keys. This should include Software’s name, License Key, Quantity of Licenses, and description of license in-use location.

- Vendor & Support Contract Information – A list of all Vendor and Contractors used. This should include Company Name, Account Manager or Point of Contact, Phone Numbers, Email, and Website. This should include contact information for any domain names purchased along with expiration date.

- Technology Plan – A plan that guides decision-making in a technology initiative from inception through evaluation taking into account the library’s: Strategies & Goals, Professional Development, Assessment of Present Technology and Future Technology Requirements, Budget & Financing, and Evaluation & Measurement.
- All in One Inventory – This includes PC, Printer, Password, License, and Vendor Inventories.
